About the Job...
Food & Beverage Office Assistant keeps the operation going behind the scenes!
This position is responsible for many of the daily administrative duties for the Food & Beverage office on
location, including employee payroll and sales reports.
Dress is "business casual", including leather, close-toed, non-skid shoes.
REPORTING RELATIONSHIPS:
Reports directly to the Food and Beverage Manager on duty.
RESPONSIBILITIES:
Approve daily labor costs: monitoring and approving hours in the Kronos system,
recording time daily, completing Excel spreadsheets daily, tracking of
overtime and training hours, submitting completely balanced daily and weekly
payroll figures to the Food & Beverage Support office by 10:00 AM each day.
Prepare punch detail reports daily and weekly.
Approve all hourly time daily and submit accurate information to the Payroll Office.
Complete labor standards and labor costs reports for to the Location Manager's office and Support
Staff Office daily.
Identify and communicate unusual time occurrences to the Food & Beverage Manager.
Follow-up on payroll problems for Food & Beverage employees with the Manager.
Enter and approve tips/gratuities in the Kronos system.
Efficiently complete duties on the computer, including Kronos timekeeping, Microsoft Excel
spreadsheets, Outlook duties and AS400 inventory data entry.
Maintain accurate information and reports, including gratuity and tip reports,
employee staffing and housing lists, overtime report, special audits as needed, and sales tracking.
Maintain up-to-date employee profiles on each Food & Beverage employee.
Record employee transfers and changes in a timely manner, by communicating and following
up with the location Personnel Manager and Food and Beverage Manager.
Perform general office duties as required including professional telephone interaction,
file maintenance, mail pick-up and drop-off.
Maintain a neat and organized work area.
Maintain positive and effective communication with all Food & Beverage supervisors and employees.
Maintain confidentiality of information.
Report to work at 6:00 AM in appropriate professional attire to begin daily
work and complete employee wake-up calls as needed.
Distribute employee paychecks on payday.
Follow company and departmental environmental practices to minimize wasted energy and resources.
Complete other duties as requested.
SKILLS AND KNOWLEDGE:
Ability to accurately enter payroll related data.
Ability to use a computer system and printer.
Ability to use calculator.
Ability to audit and correct payroll reporting information.
Ability to prioritize work load and work in a hectic environment.
Ability to learn quickly.
Ability to positively and effectively communicate with co-workers.
Ability to react in a professional and flexible manner.
Physical requirements include:
Able to lift and carry up to 40 pounds
Able to stand or sit for at least eight (8) hours each day
Bending and kneeling
Stretching and reaching
Working with required chemicals
